  • Content and files, such as documents, data files, knowledge base materials, agent configurations, workflow definitions, and other content you upload to or create within the Services.
  • Communications, such as information you provide when you contact us for support, send us feedback, or otherwise correspond with us.
  • Payment information, such as billing details and payment method information processed through our third-party payment processors.
  • AI interaction data, such as chat messages, prompts, agent instructions, and other inputs you provide to AI agents through the Services.

1.2 Information We Collect Automatically

When you access or use our Services, we automatically collect certain information, including:

  • Device data, such as your device type, operating system, browser type, IP address, unique device identifiers, and general location information (e.g., city or region).
  • Usage data, such as pages viewed, features used, actions taken, time spent, agent executions, workflow runs, and navigation paths.

1.3 Information from Third Parties

  • Identity providers and single sign-on services when you authenticate through them.
  • Third-party integrations you connect to the Services (e.g., HubSpot, Salesforce, Google, SharePoint) in accordance with the permissions you grant.

  • To provide and operate the Services, including account creation, agent execution, workflow processing, knowledge base management, and batch data operations.
  • To process AI interactions, including sending your inputs to large language model (LLM) providers to generate responses. When you use our Bring Your Own LLM (BYO LLM) feature, your data is sent directly to the LLM provider you configure using your own API credentials.
  • To improve and develop the Services, including analyzing usage patterns, diagnosing technical issues, and developing new features.
  • To communicate with you, including responding to support requests, sending service notifications, and providing updates about the Services.
  • To ensure security and prevent fraud, including monitoring for suspicious activity, enforcing our terms, and protecting the rights and safety of our users.
  • To comply with legal obligations, including responding to lawful requests from authorities and meeting regulatory requirements.
  • For marketing purposes, including sending promotional communications where permitted by law. You may opt out at any time using the unsubscribe link in our emails.
  • For research and analytics, including creating aggregated or de-identified data to analyze trends and improve our business.

3. How We Disclose Your Personal Information

We may disclose your personal information in the following circumstances:

  • Service providers. We share information with third-party vendors who perform services on our behalf, such as cloud hosting, analytics, payment processing, email delivery, and customer support. These providers are contractually obligated to use your information only as directed by us.
  • LLM providers. When you interact with AI agents, your inputs are sent to the selected LLM provider (e.g., OpenAI, Google, Anthropic) for processing. When using BYO LLM, data is transmitted using your own API credentials and is subject to that provider's terms and privacy policy.
  • Third-party integrations. When you connect third-party services to your account (e.g., HubSpot, SharePoint, Google Drive), data may be shared with those services in accordance with the permissions you configure.
  • Team members. Information such as agent configurations, workspace content, and workflow outputs may be visible to other members of your team or organization within the Services, based on your access and sharing settings.
  • Authorities and legal compliance. We may disclose information to law enforcement, regulators, or other parties as required by law or to protect our rights, safety, or property.
  • Business transfers. In connection with a merger, acquisition, reorganization, sale of assets, or bankruptcy, your information may be transferred to the successor entity.

4. AI Data Processing

Brazenly is an AI agent orchestration platform. When you use our Services, the following data processing occurs:

  • Agent interactions. Messages, prompts, and files you provide during Live-Ops (chat) and Loop-Ops (batch processing) sessions are sent to the configured LLM provider for processing.
  • Knowledge bases. Documents you upload to knowledge bases are processed and stored to provide contextual information to your AI agents.
  • Workflow execution. Data flowing through multi-step workflows may be processed by multiple AI agents and is retained as workflow output.
  • BYO LLM. When you bring your own LLM API keys, your data is transmitted directly to your chosen provider. We do not store copies of data processed through BYO LLM beyond what is necessary to display results within the Services.

We do not use your content, prompts, or AI interaction data to train or improve third-party AI models. We may use aggregated, de-identified usage data to improve the Brazenly platform.

5. Data Retention

We retain your personal information for as long as your account is active or as needed to provide the Services. Specifically:

  • Account data: Retained for the duration of your account and deleted or anonymized within 30 days of account termination, unless required by law.
  • Content and files: Knowledge base documents, workflow outputs, and other user-uploaded content are retained until you delete them or your account is terminated.
  • Chat and session history: Retained until you delete the session or your account is terminated.
  • Usage and log data: Retained in anonymized or aggregated form for analytics purposes.
  • Backups: Copies may persist in encrypted backups for up to 90 days after deletion.

6. Data Security

We implement industry-standard technical and organizational measures to protect your personal information, including encryption in transit and at rest, access controls, regular security assessments, and infrastructure hosted on Amazon Web Services (AWS). However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Your Rights and Choices

Depending on your location, you may have certain rights regarding your personal information, including:

  • Access: Request a copy of the personal information we hold about you.
  • Correction: Request correction of inaccurate or incomplete information.
  • Deletion: Request deletion of your personal information.
  • Portability: Request a portable copy of your data.

  • Objection: Object to processing based on legitimate interests.
  • Withdrawal of consent: Where processing is based on consent, withdraw it at any time without affecting prior processing.
